Fish Subject: Minicon Committee Minutes--Meeting of 2/16/2003 Publications: David Schroth want Program Book copy in one month. Rachel has art from Sue Mason for the Program Book. We need a restaurant guide. Nothing huge--we need to get it done soon. It would be good to find out which restaurants are closed on Easter Sunday. Hotel: Susan will check on whether we can post notices on the walls. Also on whether we will get ice comped. We have about 1/4 of our reservation block so far. We need to have our floor plan ready by March 1. Geri and Lisa are working on it. Susan will follow up. We are going to have only one setup of chairs for the dome. We will move chairs ourself for the reading/music room. There will be no soft wall movement. Erica Johnson has a new, narrower, wheelchair, simplifying her access to Con rooms. The elevator code is appropriate for MnStf: 1973. We have hotel access from noon Thursday until 5PM Monday. We need to plan the setup. Registration: Looking a little slow, but we may not have all the responses from PR3. The Paypal account is working. We should keep it open a week or so after the PreReg Deadline for any late responses. Scott suggested that we check with other cons about how well web registration has worked. Our budget is for 650 members. We would like to have 700-750. Fred will need help with at-con registrations. GOH's: Author GOH (Sawyer/Clink) travel arrangements have been made. They will be staying Thursday--Monday. Sawyer's privacy essay will not be in the Chapbook, but a web link will be available. Sue Mason is making her travel arrangements. Programming: An email was sent to 238 people about programming. There were a lot of bounces. Panel topics include literature, film, super hero movies, science, and security/privacy. There will be _limited_ children's programming. One item will be a panel (with kids) on what children are reading now. Hospitality: Joel thinks that the Con Suite space is much better than what we had at the Hilton. He is very excited about the hotel. We will need to rent a truck and organize a crew to haul stuff to and from the storage locker (also applies to Art Show). It looks like we will be able to move things in early and store them at the hotel.
