Minicon Committee Meeting Minutes 12/15/2002

Chapbooks

Plan work parties mid to late January, 100-150 Print run. Mia reported on contacts with Steve M. Robert Sawyer has offered some stuff. Scheduling a work party is premature--we need some material, and before that a deadline for submission of content.  Mia has asked Steve for his by mid January.  Laura Jean would like to have all content by Jan. 10. Robert Sawyer is willing to submit typeset content in pdf. Rachel would prefer to get text. Steve MacDonald will submit in pdf (with embedded fonts) because of the music. Larry would like to have Pagemaker available as a backup for formatting. We would like everything on 8 1/2x11 with 1 inch margins--inside margin is critical.

Progress Report 3

Deadline for content is Jan. 19. David would like more information on events. Details of Hotel Registration to be replaced by web link to save space.

Program book

--there will also be a Program Grid.

Marscon

We will be having a party at Marscon. We got a lot of registrations there in 2002.

Events

Geri reported that the Pool party will be on Friday and the dance Saturday night.

Volunteers

Bill would like to know what kinds of volunteers are needed by each department. He would also like an on-line signup, with an opt-in public listing of names.

T-Shirts -- a lot of discussion....

Bob and Ray from Off-World Designs can't come. They are willing to make the shirts but we would have to sell them. Sue Mason is to do the design. We would like it by February. Geri reported that we sold 40-50 shirts in 2002. Since we will be selling Chapbooks as well, we could sell shirts at the same table. It was suggested that this could be at a table outside the Dealers' Room, matching the Dealers' hours. Do we want a T-Shirt at all? The question was raised but Laura Jean feels strongly that we do. Selling them involves some financial risk, which we really do not want--we would prefer that a dealer take on that. The problem is finding one.

Sales

We have a waiver so we can take credit cards for the Art Show, but only there. A telephone card swipe machine would cost too much. Registration does not want credits--they are anxious to keep the process simple. There will be a PayPal account for advance registrations, but we will close it after the Final PreReg deadline to save money
