Fish Subject: Minicon Committee Minutes -- 1/19/2003 Meeting Hotel Susan reported on the hotel situation. From the walk-through the spaces for Art Show, Dealers, Hospitality, and Programming all look good. There was some concern about alcohol after 1 AM. Per contract there will be no alcohol served after 1 AM in public spaces, but this ban will not affect our Hospitality suite or room parties. This appears to be understood by the Hotel. Room registration looks good. Committee members are urged to reserve their rooms. There is some concern about access to the penthouse. Only one elevator goes directly there and this could be a problem for wheelchairs. We will need to be careful about requests to hotel that may cause union difficulties (e.g. A-V). This is not a big problem--just something that needs to watched. There will be a detailed discussion of space allocation after the next meeting (Feb. 2). Susan has hotel maps. She is very pleased with our relationship with the hotel. Progress Report 3 Today (Jan. 19) is the deadline for content. David has a lot already. He will cut to fit if necessary. We need to encourage early registration. We also need to push the chapbooks. Program Book We need an article about the fate of past program chairs. Exact historical accuracy is not necessary and should not limit creativity. David will solicit volunteers for proofreading. Volunteers. While the recruitment of volunteers is mentioned on the Web Site, the interactive signup is not yet working. An 8-hour shift will get the volunteer a "classic" Minicon T-Shirt. Bill passed around a catalog of novelties that could be possible volunteer premiums. It was pointed out that some of these are clearly incompatible with our hotel relationship. Book Collection. There was some discussion of taking up a book collection for a charity, such as a childrens' shelter. A possible problem is that some organizations only want new books. Future: Laura Jean and Larry are preparing a bid for Minicon 39.
