From: Glenn McDavid [mailto:gmcdavid@attbi.com] Sent: Sunday, April 06, 2003 12:23 PM To: Larry Sanderson; Laura J. Fish Subject: Minicon Committee Meeting 3/30/2003 -- Minutes Hotel Susan reported that we are 58 room-nights short, possibly due to war-time cancellations. Autograph tables will be in the Foyer. The Torcon table will also be there, on a 2nd 8-foot table. An e-mail will be sent about current hotel issues. Registration Looking a little weak. We will have the $5000 seed money for the next Minicon, but not much beyond that for MnStf. Later: Fred phoned in a report that registration is now at 482--better news. Publications Steve Macdonald's Chapbook is done and looks great. Special thanks to Steve, Jeff, Mia and everybody else who helped with it. The cover for Sue Mason's book is done, and the book is almost ready for printing. The Program Book will have to close soon. It should have an ad for Minicon 39. Programming We have 77 items--emails are going out to ask for participants. There are 3 programming rooms with a capacity of 60 people each. Is that too crowed. We might put some programming items in the Reading Room. Childrens' Programming will be scheduled "around the edges" Who will do the Steve Macdonald interview? Bill Roper? GoH's will speak at Opening and Closing Ceremonies. Opening Ceremonies will be 7:00 PM Saturday, followed by Ask Dr. Mike. The Art Auction will start at 9:00 PM Saturday and run about 2 hours, depending on volume. Parties Geri has talked to the General Manager at the Hotel. They have had Liquor licensing problems so we need to be discreet. We need to be careful about bringing open bottles out of the hotel. No alcohol in Penthouse or public spaces after 1:00 AM. Con Suite will deliver breakfast to the Dealers' room and provide a coffee urn. Tuxes for the the Time Travelers' Ball? We want a good rental deal. There will be blender drinks at the Friday afternoon beach party. DD-B will provide one blender, Larry Sanderson two. Peeps will be present. Dealers' Room Things are going OK. The rebate discussed at a previous meeting is being given out. T-Shirts are in (at Dreamhaven). Art Show We have 6-8 artists already, and one package of mail-in art. Hours for the Art Show and Dealers' Room will be in the Program Grid. The motion detectors in the room do not work, but the doors do lock. We might borrow lighted panels for the Art Show. Volunteers The On-Line Form is up. Timetable Next meeting Sunday 4/6 at Laura Jean's. 7 PM Wednesday (4/16): Work party at Larry's. Noon Thursday: Volunteers meet the truck at Dreamhaven, then go to the Hotel. Meet additional volunteers there, then go to Storage Locker to load truck. Thanks to Mia McDavid for taking most of the Minutes while the Recording Secretary was unavoidably absent.
