The second, separated from this meta-information and the first version by rows of equal signs, are the full official minutes. Notes on the full version: Matt Strait typed up these minutes from a paper copy in 2021. No OCR was involved. Original errors, if any, are lovingly retained, and marked with [sic] when I noticed them. Other content in square brackets are likewise transcription notes. Additional errors may have been introduced. Original errors may have been inadvertently corrected. The minutes were typed or perhaps printed on a daisy-wheel printer, and use a fixed-width font; this rendition mostly reproduces the formatting exactly. Exception: underscores surrounding words are used to represent real underlines in the original. ================================================================================ _June 4 Board Meeting_ 7:30 meeting called to order at the traditional time of 8:00. Subjects discussed include problems with kids at Minn-STF gatherings and financial reimbursement to hosts of same. _Rune_-related stuff: Luke McGuff had withdrawn his bid, may still work on staff. Garey *************************************************************************************** The 7:30 meeting was called to order at the traditional 8:00, minus the traditional late Board member (a rotating position) who arrived soon thereafter. Between the optimistic 7:30 and the real 8:00, we variously Hung Out, Networked, and/or SMOFFed. (It's all the same thing, you know--just depends on if you wear a tie-dyed teeshirt, a power suit, or a propeller beanie while doing it.) We even talked about an Agenda: Kids Meeting hostoid reimbursements Minicon Exec Accountant/review of books _Rune_ _Tales_of_the_Unanticipated_ finances *************************************************************************************** Kids: Sullivan brought up recent reported problems with kids at Minn-STF functions. Breakage has occurred and there have been reports of prospective hosts being hesitant to hold meetings because of such problems. Some suggestions tossed out for future thinking about: Building up and bringing around a Minn-STF toy box; asking for volunteer child-minders (presumably on a shift basis) for meetings; limiting kids to certain hours. No action taken or expected, except to urge people think about. Hostoid Reimbursements: The $25 budgeted for Minn-STF for eatables/drinkables at meetings is insufficient to purchase the amount of eatables/drinkables that will keep forty or fifty hungry and thirsty fans happy for ten-plus hours, but it has always been known to be so. Two assumptions are operative: that hostfolk will supplement out of their pockets (almost always true) and that attendees will bring comestible contributions (not as true as it used to be or needs to be). Some discussion if size of meetings/regularity of formerly off-and-on attendees has gone up in recent months, with no conclusions. No action. ************************************************************************************* Secretary/Sales Chair's musings: The cost of reimbursement for the year (presumably c.$600, at $25/each for 24 Minn-STF meetings--biweekly minus two con weekends) is almost exactly equal to the profits on 1987 Tee-shirts at Minicon sales ($575). Is there a psychic correlation tying therein the increased demand for large/extra larges? ************************************************************************************* RUNE: Sullivan had talked with McGuff, who had quasi-officially withdrawn his bid upon reading the RUNE Manifesto and talking with Romm. McGuff may still be interested in working on RUNE under eventual editorial staff. Board went over the guidelines, making numerous changes and deletions which yr obed'nt record'g sec't'ry rapidly lost track of, deciding to rely on the notes of David Cargo (on whose computer the document is stored, and who will make the changes). Opinion was expressed that the guidelines were intimidating; counter-opinion was expressed that this was not a bad thing--if prospective editors couldn't deal with them, could they deal with the Realities of RUNE? Guidelines as modified approved by consensus. Cargo will redo per consensus and make available. Lien volunteered to collect and duplicate any prospective editor documents produced in response to it. *************************************************************************************** "It's like frat or sorority Hell Week--if it frightens you off, it shows you're not vicious enough to carry on the tradition. . ." Account/Minn-STF books: What exactly do we want prospective outside accountant to tell us/do for us? Answer: Make us feel secure (or warn us if we shouldn't be) _re_: 1. "Anything dumb" in the books which could be a problem. 2. Ability to prove us solvent/trustworthy to foundations, if we wish to pursue. 3. Any changes needed to bring us into line with generally-accepted accounting procedures. 4. On general principles--getting a fresh view at what has been same set of eyes for several years. Pat Wrede, suggested last time, has an MBA and many years experience as a financial planner, along with fannish background. Board authorized up to $200 for Joel Halpern to pursue having her check over our books. ************************************************************************************* (9:05 pm. Meeting resumes at 9:10 pm.) ************************************************************************************* Minicon Exec (Proposed): Some concern expressed with fact that three of the five proposed were new to the Exec; this was felt unfortunate with regard to continuity of received lore, but not fatally so. After discussion, Board approved proposed Exec, 5-0. The Near Future: Much debate on setting RUNE application date, which affects next meeting date: If we need to get news in EINBLATT, RUNE application date cannot be before early July and preferably mid-July, which means Board could not meet until mid-July. If media other than EINBLATT (the Hotline announcements at Minn-STF meetings, word of mouth) are felt sufficient, application date could be mid-June and board meeting also by mid June to late June. Some opinion that if prospective editors' only Minn-STF connection was _via_ EINBLATT, editor(s) would be marginally possibility anyway. Eventually decided: Application for RUNE Editorship (under Guidelines as revised and supplied by David Cargo) to be received by Denny Lien by 29 June 1987.
