Sympathy to Polly on the death of her mother. 2. Tales of the Unanticipated A presentation by Eric. Call him for details. The Board approves 750 copies for the next issue which is ready to go to the printer. 3. Minicon Voicemail Joyce reports that the Minicon voicemail has been full for several weeks, as relayed from the Minicon staff meeting. Several people report not getting Minicon mailings or minutes. 4. ReinConation David Emerson reported that 190+ registered, 180+ showed up, most everyone reported having a good time. Everything went well. However, we lost ~$1,500. ~$670 was for unexpected hotel charges. GoH expenses were also higher than expected. The account still has money because they started with $2,000 from previous years. The main area for improvement is in hotel negotiations. October is a busy month for hotels, so we might be better off in a different time of year. Board direction: hotel charges outside of GoH rooms should be $500-$1,000, preferably towards the low end. Reinconation needs to break even, and we want the rate to be affordable. 5. Trans Atlantic Fan Fund TAFF operates by donations and auctions to help a fan a year travel between the US and Britain. They ran into a serious problem last year. Novacon raised #1,200 which will get TAFF out of the red, but not leave any for next year. The Board directs Joyce to talk to the Minicon committee about doing a charity fundraiser there. 6. T-shirts Joyce has a contact with a deal on T-shirts.Again, talk to Minicon sales about t-shirts. 7. Pool Party Joyce volunteers to host the pool party as long as it doesn't fall on a weekend she is out of town. It will be her 20th year in fandom. Talk to Victor [Raymond] about the hotel arrangements and Don Bailey about the meeting. 8. Taxes The IRS sent us a nasty letter saying our taxes were late. They don't have a copy of our extension form. Lynn will see if Judy (our accountant) has a copy with the approval stamp on it. Julie brought the current treasury report. Thanks Julie! We have spent almost exactly what we made last year, leaving us with very little spare cash. We have enough to cover basic expenses for the next year, but not a lot for special projects unless Minicon makes a lot more than we thought. The Kinko's bill includes over $2,000 of Minicon charges -- these should be paid by Mark Richards. The Minicon voicemail bill is still going to Julie as well. We have the new postage meter from Pitney Bowes. They need proof of our insurance. They need to pick up the old meter and the extra paper folder. Kay will check on the insurance. Glenn Tenhoff has the extra money from the new art show panels to give back. The Board directs Julie to be hardnosed about receipts. We could easily get audited and have to have them. This is only a problem for checks to people, as most bills have invoices we keep as a record. 9. Polly's Mom We provide a $50 donation to her memorial. Lynn will mail it. 10. Insurance Martin will check with Rob [Ihinger] on the insurance info.
