15 January 1998 Attending: Board (Martin, Dean, Margo, Geri, Polly), me [Fred], Eric Heideman. 7:32 AGENDA (out of order) - Minutes. - By-Laws - TotU - Postage Meter - EINBLATT. - RUNE. - Minor Announcement of Stuff re: Jeff Berry. - OTML. - Operations. - Minicon 34 Mini-Update. - Minicon 34 Start-Up Money. - Club Financing? - Minicon Finances. BUSINESS - Minutes. Fred: Apologies minutes *still* not done. Choking on August. Will have in a week. - By-Laws. Nothing new. Martin's busy. Nothing else will happen with this Board. - TotU Eric had planned to do give-away when 19 was going to be out for Minicon. Now that 19 publication has been delayed due to Minn-Stf financial crisis... Geri says, promote current issue with buy one get one deal and a Not-a-pub party. BOARD: Let's do that. Does TotU have any reporting duties to Julie, or Judy for taxes? Eric has checks to turn over and will ask what else needs working out. Has raised $700 of the $1,000 support money that was to be raised. We might need a physical inventory at end of calendar year. - Postage Meter We have seventeen quarterly payments starting 10/96; that's 12 payments. Need to look at on-going cost vs. cost of getting out of the contract. - EINBLATT BOARD: Thank you, DD-B. Kurt and Carrie next Einblatt editors. Transition is May at latest. Fred will let them know. - RUNE About to be a RUNE. Dasenbrock cover. Two Minneapolis Tribune articles: column on Sharon's bike; Jacobi obit. Giving credit and copyright information, don't know if he got permission. Other cool articles. All of minutes to August. BOARD: Tom *cannot* run the articles from the Tribune without their written permission. Margo will talk to Tom about getting real permission from the Tribune. We must be prepared to spend the money we've committed to RUNE. BOARD: Okay. - Jeff Berry item. The Membership Secretary needs a list of people from Minicon committee meetings. Dean left a message with Jeff two weeks ago and hasn't heard back from him. Margo says to talk to Janet and it'll get done. - M34 Meeting Saturday. Counts as meeting so the Membership Secretary needs the sign-in sheet. - OTML Laurel wants to resign so we need to find a new VPDP. Possibly a team to handle OTML. John Stanley, Sharon Khan, Beth, Don, Dean, David Cargo all interested parties. Over the next month, Dean and Margo will get people together and have OTML discussion? And report back to the Board next meeting. Tangent. Julie says she'd be better at VPDP than at Treasurer. Julie's been Treasurer, three years. It =is= getting time to recruit a replacement, so she doesn't get burned out. BOARD: Accept Laurel's resignation. OTML meeting and report. - Operations Minicon Exec had a meeting with Operations. They agreed to a organization with one Head (Linda Paul) and three Subheads, who will be Acting Heads on Duty at the Con. Only Head will give reports at Committee Meetings. - Minicon 34 Mini-Update Fan and Bookseller GoH's accepted. Letter out to Pro GoH. - Minicon 34 start-up money Don't want to lose track of start-up funds issue. Would like Minn-Stf start-up help. Will *not* sell word-of-mouth memberships in advance. Minicon 34 will need money; approximately $2500 to $3500. We'll have to go into the Minn-Stf IDS reserves. There's about $10-12K there. - Club Financing? BOARD: Asks Julie to have Financial Report for February Board meeting. - Minicon 32 Loss by M32: $5,819.36. Mark hasn't actually close the books. Geri has the checkbook. Anything further *must* go through Minn-Stf. It's *Minn-Stf's* problem, *not* Minicon 33's. The $1260 hasn't come in from the Holiday Inn. They have been invoiced. Victor will reissue. Erik Baker's hotel room on Minicon account, $342.15, when his friends stiffed him. Will cover by the end of the month to Minn-Stf; either money or proof of previous payment. If both come in, we're back down to about $4200 in losses. We also have a number of checks unreconciled. Resolved some of them. Paid out, not cashed. Rhonda Danielson, for example, $71. Minn-Stf should pay. If she can find old check, VOID it out and return it. $250 to Dreamhaven. Cat Ocel has it. Needs to be VOIDED out, returned, and replaced from Minn-Stf. Money to buy books to send to Russia courtesy of Tom Doherty. Has 1000 books from Hugos (same deal), unshipped, but not from Dreamhaven. Will try to email board with the results. M32 done, putting together reports. Thinking of doing M31. I handed hotel tip over at December meeting. Victor has been holding to make sure it would clear, Mark had been waiting to hear from Victor. Ben doesn't know of any other SF con that pay management tips. We need to reassess this. We need a policy. - Minicon Finances wrap-up M33 finances in trouble? BOARD: Would like to see M32 Budget at February Meeting. NEXT MEETING: February 19, 7 pm, old same place. 9:07pm WE'RE DONE!
