Agenda: Continuity/Thomas Juntunen Datacon Card for Jo Clayton OTML Insurance/Board & Liability Storage Locker Postage Meter 1. Datacon Lydia reports that the project is well underway. $55 postage, ~$150 mailing, ~$220 so far. Supplies for the at-the-hotel part will be $100 or less. (Unless extra people show up. Up to $200 authorized in hopes lots of people show up.) The major problem so far is that Rex Bryant and Michelle Clark are unhappy with Minicon and unwilling to pass information to Lydia. Kay and Dean will see what they can do. The information gathering will continue all fall. After the turn of the year consolidation and editing will start. Much discussion of what we need to do to get information from department heads and pass that along to the next heads. Also how much we have to worry about lawsuits from or aimed at our volunteers. 2. Minicon Tech Jeff [Berry] presented information on tech: bids, insurance, ASCAP (we have a $1,700 credit). His company will have to be buying equipment to cover Minicon, and will be able to provide better service, but needs a contract. He explained what the changes in layout and coverage of tech will mean in service, quality of layout, etc. 3. OTML We had a whole tub of returned mail. We had talked about fixing this -- no more return postage guaranteed. Polly will check with Kate Carey about the update status of the OTML. 4. Treasury Notes Meeting on Sept. 4 to discuss budgets from last years Exec and this years Exec. Kay will bring up the transfer of expenses from MNStf. Lynn will arrange a meeting of all the treasury people and the accountant and as many Board members as possible. 5. Jo Clayton She has bone cancer. Dean Gahlon will send a card. 6. Postage Meter Upgrade We now have advertising catalogs but no price list. We need the minimum model, and can wait a while. It will be able to do our logo if we want. Kay will check with Denny [Lien] and the sales rep. 7. Storage Locker A Minicon problem. Polly suggests getting a larger unheated space for less money. Kay will check on prices for sizes and locations. Martin will talk to Cat [Ocel] and Thomas [Juntunen] about ideas for improvements. 8. Insurance Much general discussion. We will read over the info passed around and each come up with questions for the insurance agent and our legal counsel. Clearly we have lots of questions. We all wish we didn't have to worry about being sued at all.
