Minn-Stf Board Minutes - 18 April 1999 Martin Schafer Geri Sullivan Polly Peterson Dean Gahlon Don Bailey Mitch Pockrandt - Recording Secretary Eric Heideman Clarke Stone Joyce Scrivener Agenda Items Officers TOTU Minicon update 34/45 Rune Year's Financial Plan (now or next time) Aussicon Tee Shirts Volunteers Officers: TOTU: See memo from Eric and Clarke Changing format of TOTU proposed (to a Trade Paperback layout) Proposed print run of 400. Geri asks about benefits over a number like 300. Incremental runs incur no additional setup costs. The setup fees are paid for the first run, and the only price break is at 200 copies. This would allow a full color cover without additional cost. This should allow improved shelf life, improve sellability. Printing costs are about 2.60/copy, bookstore income is 3.60 (60%), cover is 6.00. Release schedule discussed... Ideal would be 6 month interval without concern for money, had been trying for 8 month, now at 12 month due to constraints. #20 is due for Aug. 6-8/Diversicon 1999 Decision: #21 will be due for April 2000 / Minicon Next schedule after that will be determined based on how #20 works. Aussicon: Margo, Don, Joyce would like to do a Mpls'n'73 party at Aussicon on Thursday night. (Traditional $250-$400 cost in past for foreign parties.) Main expense is the cost of renting a room (or function space room) for the party. Board says: We are in favor of this, Yes, host the party, but come back to us after researching more specific costs surrounding this specific convention. We want to fund it appropriately and be successful. Tee-Shirts: (from last November meeting discussion) A sample polo shirt from ForePaws with MinnStf Logo on left breast. Scott Dennis from ForePaws says he had requests for Blimp with Mpls'n'73 instead of Minicon 34. A licensing arrangement would add $1 to cost which would go to MinnStf. (Geri: Color of logo is maroon on grey shirt in sample, instead of navy per logo. Typography is not correct for the logo per Jim Odbert's original design.) Geri will take on design communications to Scott to coordinate approved art design on Logo. Martin will call Jerry Stearns to check on status of old silk screens of Mpls'n'73 art work. (Dean wants info on denim shirts.) Geri will touch base with Minicon committee to let them know about this going on. Volunteers: Dayton-Hudson 501(c)(3) community volunteer program grants. Board: Thanks to Joyce for bringing this to our attention. Minicon 34/35 Update (Geri): (Postmortem Handouts) Scott Raun took minutes at postmortem, soon to be available. (Copies of some online reports now available. Geri will bounce electronic copies of the online reports to board@mnstf.org, along with minutes from the postmortem, etc. ) Web pages will contain much of the postmortem information in the coming month. Wrapup stuff/tasks are currently being determined and executed. Minicon 35: Geri is gathering high level volunteer info. Nudge to Martin and Geri to get the Minicon 33 accounts closed out and moved into place for M35. Dean reports that Mike Pins has made recent strides on that. Martin and Geri will followup. (Have date for followup set within next two weeks.) Sorting out leadership structure for M35... M34 council structure did not work as desired. Plan to determine new structure with plans to tweak as needed for M36. What level of board discussion involvment is wanted?? (Ongoing email discussion for example.) Between now and end of May: M34 wrapup, leadership discussion/planning, department head decisions for M35. What does Board want of Geri? (wearing any of her hats) - no burn out! Martin: We'd like you to clone yourself. :-) Rune: Next time. Officers: Get list from Don Bailey. Next meeting: Tuesday, May 18, 7pm, at Don Bailey's house (47xx Pleasant Ave S)
