Minnstf Board Meeting, December 16, 2001 Scott Raun's House Attending: Sharon Kahn, Scott Raun, Larry Sanderson, Dean Gahlon, Martin Schafer Recording secretary was not present, so Sharon Kahn took minutes. NEXT MEETING will be Monday, January 14, 7:30 pm at Scott Raun's. The intent is for our regular meeting date to be the 2nd Monday of the month, but this may be modified as necessary to fit everybody's schedule. OLD BUSINESS * Funding for Minicon party at Capricon: $197.30 approved * Funding for New Year's Party (Dean & Laura) $250 approved. * Accepted proposal to expand the chairmanship of Minicon 37 to include Laura Jean Fish as Co-Chair with Erik Baker. * Accountant Problem. Minnstf has not filed taxes since 1998. For a while this was our fault - we had not gotten some of the necessary paperwork to Accountant Judy. However, she has the paperwork now, and has had it for several months, but has made no discernible progress. We think that she has $200-$250 of Minnstf money paid to her as an advance for her work, but we aren't quite sure. -- Larry to look through check ledger, see when we made last payment to her. -- Larry to continue to bug her with email, although it is probably not realistic to expect any action before Christmas. * Martin gave a short recap of Minnstf's tax history. We didn't file at all for many years, then started filing but failed to check a box. This annoyed IRS, who assessed penalties for foot-dragging, which were later refunded, but made us nervous, so we got an accountant and filed taxes for a while, until we lost momentum. So far, the IRS doesn't appear to have noticed. * Does anyone know where the small registration copyprinter is? We're pretty sure that Erik Baker has it. NEW BUSINESS * Board authorized Larry to spend about $40 for computer- printable check blanks. * Proposal for a Scott Imes memorial issue of Rune was submitted by Geri Sullivan and Jeff Schalles. The Board approves the request, pending submission of a "reasonable" budget, and requests that information be available at the Pool Party (December 29) on how interested parties may get a copy of this Rune when it is available. * Cat Ocel is organizing a memorial gathering for Scott Imes and would like to hold it at the Rad in conjunction with the Minicon Pool Party (December 29, 2001). Board thinks this is a fine idea, and has approved $200 donation to the memorial expenses. We would like to publicize it on the Minnstf and probably Minicon web page as soon as details are firm. * We decided that now is the perfect time to revise and reprint the Minnstf brochures that somebody (Geri?) made up a few years ago. We want to have 50 or so at the Pool Party for people who might wander over from Scott's memorial party. Andrew has the latest electronic copy. Andrew was called and agreed to get the flyer ready to print before he leaves for New Orleans next Friday. We still have $44 in our account at Kinkos. We'd like to print 50-100 right now. * Budget for pool party. Should prepare for it to be higher than normal because of memorial. What did we spend last year? We think the budget was $500 total, but cost much less because room was practically free. Nobody recalls room deal for this year. We finally decided to budget $350 + room costs. Karen Cooper is the hostess, needs to be told her budget.
