*** UNAPPROVED *** October 20, 2012 MnStf Board Meeting Held at 1:00PM at the Crowne Plaza MSP Airport Bloomington during the Conjecture convention Attendance: Emily Stewart, Aaron Vander Giessen, Hershey Lima, Matthew Strait, Dean Gahlon, Beth Friedman, Scott Raun, Magenta Griffith, Eric Forste, Patricia Zetelumen. 501(c)3 Carol and Dean are working on filling in missing information about finances. Jonathan will contact Beth with some recommended. Archives Emily still needs to move last of high level stuff and take care of this. Matt Strait would like to have an Archive sorting and pruning day. Treasurer's Report Dean and Emily will make report for web based on Carol's report of finances. See last month's minutes. Website Matt will make an update as to the duties of the webmaster. Laurel K. still has control, but this issue should not be changed until the 501(c)3 issue has been resolved. Minicon proposals Last month, a Minicon 50 proposal is accepted entirely, minus the profit target, which was to be accepted pending Dean's verifcation of our finances. Finances have been verified and the proposal is now accepted. Fallcon, This year's convention is expected to operate within the $200 loss as a profit target. Beth Friedman is not planning to run the Fallcon. Hotel arrangements have in the past been made within a month of the previous contract. Proposals for 2013 should include budget, hotel, structure. Beth would like the next year's convention to be the same convention weekend, though such a thing may be dependant on availability. Potential conflicts for late September or October include Anime Fusion, Arcana, Gaylaxicon, and Renaissance Festival. Convention Proposals Matt has added guidelines for convention proposals to the MnStf web page. Cafe Press Kevin and Laurel are at the convention. Scott will speak to them at the convention. Steve MacDonald Songbooks No update as of yet. Dean and Scott are working on it. Scott will set Status of electronica Scott will attempt to get .info address. Database Directory Copies of the database were available. There are MnStf directory forms available for missing names, correction forms are also available. The newest version will be available in December. Web versions of Board meeting minutes Emily will send these to Eric. ASCAP American Society of Composers, Arrangers and Publishers. Clayton Harris sent in check, which was returned, possibly because of bad addres. Some payments and paperwork are outstanding.. Minicon will continue to handle each year ongoing, the board will take care of issues for conventions for which books are already closed. Minicon Head of Music job description will be amended to include ASCAP paperwork. RUNE Rune is finished and under budget. Matt has submitted a written report which states that 250 paper copies were printed and 200 were mailed. The issue is a 52 page booklet made of 12 sheets of paper and 1 sheet of cardstock. Fewer hard copy issues will be mailed in the future and more PDFs will be sent. Next issue is at earliest February and more likely summer of 2013. Matt and Dean will meet to discuss format of next issue. Next Meeting November 17th, Beth Friedman's house during the MnStf meeting at 2:00PM.
