Minnstf board meeting meeting, Aug 12 at 6pm at Hershey's house (in freaking person). Attending: Scott Raun, Matt Strait (recording), Hershey Harris, Aaron Vander Giessen, Linda Lounsbury. == Approve last meeting's minutes == Approved. == Review TODO list == * (2021-06) Scott will call ASCAP to tell them we had no events in the last year. Scott e-mailed ASCAP yesterday. * (2021-06) Aaron will find out what the Minicon 55 chairs are up to. There's a plan for a concom meeting+picnic on Sept 11, although Delta is spooking people, so we're not sure. Aaron has suggested an e-mail roll call if there isn't going to be an in-person concom meeting soon. We may need a new kids programming people, particularly if younger children still can't be vaccinated. Done: * (2021-06) Aaron will remind concoms how voting status works. * (2021-06) Matt will send bills for past due accounts. The Beyond Conventions account is now fully past-due, i.e. if they had stuck to the payment plan, it would now be paid off instead of owing us $952. Because we are not charging interest, they now owe us 13% less than when they incurred the debt in 2015, corrected for inflation. * (2021-06) Matt will let President Sharon know the ruling we made about COVID rules at meetings. * (2021-06) Matt will announce the next meeting to officers and chairs. == Review recurring task list == We should get a report from the quartermaster. Matt will ask Quartermaster Brother Joe to check on the storage locker. == Young board member position == We discussed. Linda objects on the grounds of it being undemocratic. Aaron and Linda object on the grounds that it opens the door to reserving other board spots for other groups of people. It is noted that age is different from most categories because it changes over time. Linda suggests that young people should be officers, become visible, and then get elected to the board because people know them. But that doesn't seem to work, at least not in the last decade. Should we all just campaign for a particular young candidate without changing the rules? We should do at least that. This proposal appears to be dead for the moment, but Scott encourages us to bring it back up in a few years (after are are back to having in-person meetings and can more clearly see the age distribution of the membership). == Conventions == * Decongestant 5 Informal polls show that most people are thinking they won't come regardless of masking rules. A few people say they will come and a few people say they will wait and see. Of course, this is only out of about 10 respondents, compared to our usual membership of about 65. Some board members say they'd come. Matt will ask also on the Minicon concom list and also emphasize that we need positive answers (if there are any). We have very few registrations, but that doesn't tell us much because the deadline isn't for a few weeks. * Minicon 55 The chairs would like to require vaccines. If that's going to be so, we need to put the information out there. Matt suggests that we should offer refunds to anyone who doesn't want to come under those terms and has already registered. What happens if we have half as many people as usual, and half as many room nights? Aaron will work it out. * Minneapolis in 2073 We didn't have a party at Diversicon. Theoretically we could have a party at Windycon. Not sure we want to with COVID being how it is. == Next meeting == Oct 6, 6pm at Hershey's. == New TODO list == * (2021-06) Scott will coorespond call ASCAP to tell them we had no events in the last year. * (2021-08) Matt will announce the next meeting to officers and chairs. * (2021-08) Matt will ask Quartermaster Brother Joe to check on the storage locker. * (2021-08) Aaron will work it what we'll owe the Minicon hotel if we have half the regular number of room nights.
